Companies and people

A company is a business you work with: a print shop, a sign company, a store chain, or a homeowner. Each company has people under it, and every job is for one person at a company.

Who gets the paperwork

  • The job's person gets its quote, closeout packet and invoice. A job for Sally at Rapid goes to Sally; a job for Joe at Rapid goes to Joe.
  • People ticked Billing / AP on the company get a copy of every invoice for its jobs.
  • A job can have its own billing contact (in Bill to) when its invoices go to someone else.
  • The send screen shows exactly who gets each email, and you can add more.

Clients and subcontractors

A company can be a Client (you quote and bill them), a Subcontractor (you send them work), or both.

  • Client settings on the company page: payment terms, deposit, quote validity, tax exempt (with the certificate), and whether accepting a quote online asks for a signature. New clients start from Settings → Client defaults.
  • Subcontractor: invite them to the app from the company page, then send them whole jobs or only some locations.

Adding a company

  1. Go to Companies → Add company.
  2. Enter the company name, the first person (name, email, phone), the billing address, and whether they're a client, a subcontractor or both.
  3. Add more people on the company page with + Add person. Each person has a New quote shortcut.

A homeowner is a company named after them, with that one person.

Forwarded emails

  • From a person's email: filed under that company and person.
  • From a new address at the same business (for example a new @rapidgraphic.net address): filed under that company, and the sender is added as a new person for you to confirm.
  • Personal addresses (Gmail, Yahoo, Outlook and the like) are never matched by their domain.
  • From someone new: the job waits in Needs review with Create company + person.

Archiving

Archive a company you no longer work with. Its jobs stay. People on jobs are archived, never deleted.
